5 Signs You’ve Outgrown DIY Bookkeeping
Nobody sets out to hire a bookkeeper. Most business owners get there gradually — usually after one too many weekends lost to reconciling receipts instead of running the business. After 20+ years doing this, and having built my own businesses from the ground up, here are the five signs I watch for.
Your paperwork is taking more of your time than the business itself. If your evenings are spent matching bank statements instead of planning ahead, that's not staying on top of things — that's the bookkeeping running you, instead of the other way around.
Payroll stopped being simple. Once you're managing more than a handful of employees — different pay schedules, overtime, benefits, bonuses — a spreadsheet and good intentions aren't enough anymore. A proper payroll system usually pays for itself the first time it catches a costly mistake before it happens.
You don't know your numbers until someone tells you. If the honest answer to "how did last month go?" is "I'll know once my bookkeeper gets to it," you're reacting to your business's performance months after the fact, not managing it in real time.
What worked at 3 employees doesn't work at 15. The systems that were fine for a small team become a real liability once you're managing a bigger one — more people, more vendors, more moving pieces. Growth exposes every shortcut.
